These Terms & Conditions (“Terms”) govern the use of APW Fleet Cards (“Card”) issued to business account holders (“Cardholder”). Use of a Card constitutes acceptance of these Terms in full. Where card activation is completed via the APW portal, the Cardholder will also be asked to confirm acceptance by ticking a checkbox. APW reserves the right to amend these Terms from time to time: Cardholders are responsible for checking the portal periodically for updates.

Cards issued by APW Ltd remain the property of APW at all times. Cards are issued solely for the purpose of purchasing fuel and authorised goods at APW locations.
Cards are issued to the business account holder and are not transferable to any third party outside of the account holder’s authorised employees or drivers.
The Cardholder accepts full responsibility for the safekeeping and proper use of all Cards issued to their account. This includes:
If a Card is lost or stolen, the Cardholder must deactivate it immediately via the APW portal. Self-serve deactivation is the fastest way to protect the account and is available 24 hours a day, 7 days a week.
If the Cardholder is unable to access the portal, they must contact APW by one of the following methods:
APW will take reasonable steps to block the Card upon receipt of a valid report. However, APW accepts no liability for any transactions processed before the Card has been successfully deactivated in the system.
APW does not accept liability for any unauthorised transactions made on a Card, including but not limited to transactions made:
The Cardholder is solely responsible for all transactions recorded on their account until APW confirms that the Card has been successfully deactivated.
APW will not issue credits, refunds, or reimbursements for transactions resulting from lost, stolen, or misused Cards.
It is the Cardholder’s responsibility to regularly monitor their account statements and transaction history. APW provides detailed monthly usage reports accessible through the portal.
The Cardholder must review statements promptly upon receipt and notify APW of any suspected errors or unauthorised transactions within 30 days of the statement date.
Failure to report discrepancies within this timeframe may limit the Cardholder’s ability to dispute transactions.
A 4-digit PIN is assigned to each Card. The Cardholder is responsible for:
If a PIN is believed to have been compromised, the Cardholder must update it immediately via the portal and report the Card as potentially at risk.
Cards operate on a prepaid basis. Transactions will only be authorised where sufficient funds are available in the account. APW is not responsible for declined transactions due to insufficient account balance.
The Cardholder is responsible for maintaining adequate account funds to meet their fleet’s requirements.
Replacement cards may be issued upon request following a loss, theft, or card damage. APW reserves the right to charge a card replacement fee.
Replacement cards will be dispatched to the registered business address. The Cardholder is responsible for activating the replacement card and accepting these Terms before use.
APW reserves the right to suspend or terminate a Card or account at any time if:
The Cardholder may request account closure at any time by contacting APW. Any unused prepaid balance will be refunded in accordance with APW’s refund policy.
APW reserves the right to amend these Terms at any time. Updated Terms will be published on the APW portal. Cardholders are responsible for checking the portal periodically to stay informed of any changes. Continued use of the Card following publication of updated Terms constitutes acceptance of those updated Terms.
These Terms are governed by the laws of New South Wales, Australia. Any disputes arising from these Terms or the use of the Card shall be subject to the exclusive jurisdiction of the courts of New South Wales.
